What each role does, step by step.
Snowleaf gives each person only what their role needs. Find yours below. Someone with several roles can do everything each of them allows.
For admins
You set Snowleaf up for your organisation and keep it safe: who can do what, which sites it covers, and how it’s paid for.
- 1Add your sitesSites, New site. Give each its size by IT load, which sets its price, and if you like where it is. Then add its sources (grid, generators, solar) and meters on the Sources and meters tab.
- 2Invite your teamSettings, Members and roles. Give each person only the roles they need. An auditor’s access always has an end date. Anyone you remove is signed out at once.
- 3Protect sign-inSettings, Security. Turn on two-step sign-in for yourself, then require it of every admin. Shorten how long sessions last if your policy asks for it. Single sign-on is in Settings, Single sign-on.
- 4Connect site equipmentOn a site’s Upload tab, make a site key for a building management system or gateway to send readings by itself. Each key only sends that site’s readings and can be stopped at any time.
- 5Choose what you’re toldSettings, Alerts and reports. Switch on emails when readings stop, the generator runs long, a run finds readings to check, or a report waits for approval, and set up a draft report each month.
- 6Connect your own systemsSettings, API tokens for read-only access from a BI tool or data warehouse; Settings, Webhooks to send the audit log and alerts to your monitoring. See the Developers page.
- 7Plan and billingSettings, Plan and billing. Choose or change your plan, set where invoices go and any purchase order to quote, and pay invoices online.
- 8Your dataSettings, Organisation. Export everything as one zip at any time. Deleting the organisation takes 30 days, during which any admin can stop it.
For data stewards
You get each site’s readings in, make sure they’re right, and run the calculations.
- 1Upload readingsOn a site’s Upload tab, fill in the template, or on Report and up upload your own export and Snowleaf suggests how its columns map for you to confirm. Rows that can’t be read are listed with the reason; the rest load.
- 2Fill gaps from bills and fuel logsWhere there’s no meter, add a bill or fuel log as one total for its period. It’s spread over the hours with no real reading and marked estimated, and real readings always win.
- 3Check what arrivedThe Readings tab shows every hour for a day, where each reading came from, and older versions when a reading was sent twice.
- 4Set energy pricesOn the Energy prices tab, enter what grid power and fuel cost you, so reports can show what each source cost.
- 5Run a periodOn the Runs tab, choose the period. A run uses the readings and factors as they are now and keeps them, so its figures never change afterwards.
- 6Check the flagsA run flags readings that look wrong: a meter stuck on one value, a likely unit slip, a spike, grid and generator both on. Look at each and say what you checked; figures are never changed for you.
- 7Send it for approvalOnce an admin or approver has drafted the report from your run and it’s right, send it to a named approver with a note.
For approvers
You sign reports off. Your name goes on each one you approve, and an approved version can never be changed.
- 1Review what’s sent to youApprovals lists reports waiting for you, and you’re emailed when one arrives. Open it to see every figure, its completeness and the flags found in its readings.
- 2Approve, or send it backApprove to lock it, or request changes with a note saying what to fix. If too many hours have no reading, you’re asked to acknowledge that before you can approve.
- 3Share itDownload the PDF or the evidence pack: every reading, factor and step, with a script anyone can run to recalculate the figures. On Portfolio, share a link with an outside auditor that ends when you choose.
- 4Read the logThe Audit log shows every change anyone made, in order, and checks that none was altered.
For auditors
You can read everything in the organisation for the time you’ve been given, and change nothing.
- 1Follow any figure backFrom a report, open the run behind it, then any hour, to see each reading, the file or key it came from, and the factor applied.
- 2Recalculate it yourselfThe evidence pack holds the readings, factors and method version a report used, and a script that recalculates every figure without Snowleaf.
- 3Check the logThe Audit log lists every change with who made it and when. Check the chain to confirm no entry was edited or removed, and export it for your working papers.
- 4When your access endsYour access stops on the date the admin set, wherever you’re signed in. Ask them to extend it if your work runs on.
